Registration
A non-refundable deposit of AU$1,000 is required from delegates upon registration to reserve their place on the tour. If the full amount of AU$8,999 (+GST) has not been paid by 14 June 2019, the Western Sydney Leadership Dialogue (the Dialogue) reserves the right to cancel the registration and the delegate will forfeit their initial deposit and their place on the tour.

Included:

  • 5 nights premium accommodation, superior room, high speed wifi

  • Hosted site tours, briefings, presentations and related reading materials

  • Daily transport related to the tour, i.e. coach transfers, river tours

  • Return Heathrow Express train ticket (economy)

  • Oyster card charged to value of AU$100

  • 5 breakfasts

  • 4 lunches

  • 3 dinners

Excluded:

  • International return flights, taxes, change fees, cancellations, etc

  • Travel insurance and visas

  • Pre and post tour accommodation costs

  • Accommodation incidental charges including laundry and mini bar

  • Mobile phone and additional internet expenses above what is included in the room

  • At leisure meals

  • At leisure activities excluded from the formality of the tour

  • Hotel room upgrades

  • Other personal expenses and incidentals

Late registrations
In the event of a late registration (registration on or after 15 June 2019), the full amount must be paid upon registration via credit card, or within thirty (30) days of registration via EFT. The full amount must be received by 26 July 2019 regardless of date registered.

Tour capacity
If minimum numbers (25) are not achieved, the Dialogue has the right to cancel the tour at any point in time. In this instance, all deposits will be refunded.

Accommodation
The 2019 International Study Tour includes five (5) nights’ accommodation in a superior room at the Novotel, Canary Wharf. Delegates must stay at the hotel selected by the Dialogue. If the hotel changes, it will be to an equivalent standard. Room upgrades can be arranged at the delegate’s own additional costs. Delegates are responsible for room incidentals, for example: room upgrades, mini bar usage, room service, additional food and beverage charged to room, laundry, etc.

Upon check-in at the hotel, the Novotel will ask for the delegate’s credit card to store on file. Should delegates depart without paying their hotel incidental costs, the delegate’s credit card will be charged.

Cancellation Policy

  • All registrations must be made through the online portal.

  • All registrations include a $1,000 non-refundable deposit.

  • Cancellations received on or before Friday, 14 June 2019 will receive a full refund minus the deposit.

  • Cancellations received on or after Saturday, 15 June 2019 will receive NO REFUND.

  • A replacement delegate may be accepted upon approval of the Dialogue. Name change fees will be at the delegate’s expense.

Transfer of registration
Requests to transfer registrations must be made in writing to the Dialogue at info@westernsydney.org.au on or before Friday, 2 August 2019. Transfers will be at the discretion of the Dialogue and may incur additional charges.

Contact details
You agree that all personal contact details provided on your registration form can be used by Dialogue staff, should you need to be contacted for any reason. Other personal details including your name, title, organisation, phone number and email address may be distributed to other study tour delegates at the Dialogue's discretion, and for matters of coordination.

Itinerary
While every effort will be made to deliver the advertised program, activities scheduled are subject to change. Where replacement activities are required, they will be of the same quality and consistent with the intent.

Travel insurance and visas
Delegates are responsible for arranging their own travel insurance cover for the duration of the 2019 International Study Tour. Please consult your travel insurer, travel agent, insurance broker (including health, home or car insurer) or credit card provider to ensure that you have sufficient travel insurance cover prior to departure.

Travel Insurance is strongly recommended by the Department of Foreign Affairs and Trade for all overseas travel. By agreeing to these terms you agree to purchase the appropriate travel insurance and provide proof of this purchase to the Dialogue. If you decline travel insurance you will be required to sign a disclaimer.

As per the Australian Government Civil Aviation Safety Authority (CASA), delegates travelling must have a minimum six-month validity left on their passport at the time of departing Australia. Delegates are also required to ensure they have a valid visa for travel to the UK if required.

Health
It is your responsibility to ensure that you are aware of any health requirements for your travel destinations and to ensure that you carry all necessary vaccination documentation.

Catering services and special dietary requirements
The Dialogue will coordinate those meals that have been included in the cost of your registration. You will be asked at the time of registration to log any dietary requirements. Personal food and beverage items will be subject to the venue provider’s terms and conditions.

Code of Conduct and Dress Standard
Dialogue and site staff have the right to refuse entry to anyone not wearing appropriate clothing or shoes. The Dialogue will give details of dress requirements in your tour packs provided prior to departure from Australia.

Dialogue upholds the principles of Responsible Service of Alcohol. Excessive drinking will not be tolerated.

By attending the 2019 East London Study Tour, you agree to follow any lawful instruction provided by the Dialogue staff, and or other provider’s staff. All delegates agree to comply with the conditions of entry to all venues, hotels, airlines, transport and other suppliers. The Dialogue reserves the right to prohibit travel on the 2019 International Study Tour to persons who have not agreed to the 2019 International Study Tour’s Terms and Conditions.

Delegates are asked to bring any dangerous behaviour or conditions throughout the 2019 International Study Tour to the attention of Dialogue staff and other parties staff members.

Personal Belongings
Equipment, laptop computers, bags or other valuables must not be left unattended. It is the responsibility of all delegates to ensure that valuables are secured during breaks or at the end of the day. The Dialogue will not be held liable for any loss or theft of valuables, including within the hotel.

Internet and Telephone
Additional download capacity and/or Wi-Fi that is not publicly available will be at the cost of the delegate.

Mobile plans do not usually cover making and receiving calls, data usage, voicemail, SMS and MMS while overseas, so extra charges may be incurred. Please contact your mobile service provider in advance to ensure the appropriate international roaming package is activated for your requirements. 

Weather
Attendees are encouraged to consume bottled water to avoid dehydration and dress appropriately according to weather conditions.

In the event of inclement weather or force majeure (war, revolution, act of public enemies or act of terrorism; riot, blockade, insurrection or civil commotion; strike, lockout, stoppage, ban or limitation on work, restraint of labor or other industrial dispute; act of god; epidemic or disease; fire, flood, earthquake, storm or cyclone; malicious damage, smoke or explosion; sabotage, bomb threat, or other threats of violence; act or restraint of any government or semi-governmental or other public statutory authority; judgement, ruling decisions or enforcement actions of any court or tribunal jurisdiction; breakdown of any facilities or machinery or unavailability of essential equipment, supplies or services; cessation of or interruption to water or electrical supply) or any other cause or event not reasonably within the control of the Dialogue which may affect the event in whole or in part, refunds will be based on the individual circumstances and venue policies.

Photography & Video
By attending the tour, you give permission to the Dialogue to use any event related images taken during the tour externally for marketing purposes.
