Collaborative Leadership Program - Terms and conditions

Registration
Registration for the 2024 Collaborative Leadership Program (CLP) is at the discretion of the Western Sydney Leadership Dialogue (the Dialogue) on an invitation-only basis. Invitations to attend are non-transferable without the written consent of the Dialogue. Delegate numbers will be capped at the Dialogue’s discretion.

The full amount must be paid upon registration via credit card, or within fourteen (14) days of registration via EFT. If the full delegate fee (+GST) has not been paid by Friday, 2 August 2024, the Dialogue reserves the right to cancel the registration, and the delegate will forfeit any amount paid and their place in the 2024 Program.

Included:
• Hosted site tours, briefings, presentations and related reading materials
• Pre and post event briefing functions
• Daily transport related to the tour, i.e. coach transfers
• Four nights premium accommodation with Wi-Fi
• Four breakfasts
• Five lunches
• Three dinners
• Rolling Alumni program

Excluded:
• Transport to the meeting venue on the first day
• Transport from the meeting venue on the last day
• Parking
• Accommodation incidental charges including mini bar
• At leisure food and beverages
• At leisure activities excluded from the formal program
• Hotel room upgrades
• Other personal expenses and incidentals

Program capacity
If minimum numbers are not achieved, the Dialogue reserves the right to cancel the CLP at any point in time. In this instance, payment will be refunded.

While every effort will be made to deliver the advertised program, activities scheduled are subject to change. Where replacement activities are required, they will be of the same quality and consistent with the intent.

Cancellation policy
• All registrations must be made through the online portal.
• Cancellations received on or after Friday, 2 August 2024 will receive NO REFUND.
• Cancellations made on or before Thursday, 1 August 2024 will receive a full refund minus an administration fee of $1,000 + GST.
• A replacement delegate may be accepted upon approval of the Dialogue. Name change fees will be at the delegate’s expense.

Transfer of registration
Requests to transfer registrations must be made in writing to the Dialogue at info@westernsydney.org.au on or before Monday 29 July 2024. Transfers will be at the discretion of the Dialogue and may incur additional charges.

Accommodation
The 2024 Collaborative Leadership Program includes four (4) nights premium accommodation at SKYE Suites Parramatta. Delegates must stay at the hotel selected by the Dialogue. If the hotel changes, it will be to an equivalent standard. Room upgrades can be arranged at the delegate’s own additional costs. Delegates are responsible for room incidentals, including but not limited to: room upgrades, mini bar usage, room service, additional food and beverage charged to room, etc.

Upon check-in at the hotel, the hotel will ask for the delegate’s credit card to place on file. Should delegates depart without paying their hotel incidental costs, the delegate’s credit card will be charged.

Please note all accommodation/function rooms and indoor public areas at SKYE Suites Parramatta are non-smoking.

Contact details
You agree that all personal contact details provided on your registration form can be used by Dialogue staff, should you need to be contacted for any reason. Other personal details including your name, title, organisation, phone number and email address may be distributed to other CLP participants at the Dialogue’s discretion, and for matters of coordination.

Catering services and special dietary requirements
The Dialogue will coordinate those meals that have been included in the cost of your registration. You will be asked at the time of registration to log any dietary requirements. Personal food and beverage items will be subject to the venue provider’s terms and conditions.

COVID-19 Policy
The health and well-being of our CLP attendees is our top priority. The Dialogue will take all reasonable measures to prevent the transmission of COVID-19, including practices recommended by NSW Health at the time of the program. However, the Dialogue will not be responsible should any delegate contract COVID-19 while undertaking the program.

Any registered delegate who receives a positive COVID-19 result, should follow the health advice of the day and communicate options with the Dialogue. A replacement delegate may be nominated up to 24 hours prior to the commencement of the program, in consultation with the Dialogue.

If the Dialogue is required by the NSW government, to cancel or postpone the CLP, best efforts will be made to let delegates know in a timely fashion. If the event is cancelled, full program cost will be refunded. However, no refund will be provided if the event is postponed.

Code of Conduct and dress standard
The Dialogue and site staff have the right to refuse entry to anyone not wearing appropriate clothing or shoes. The Dialogue will give details of dress requirements in your CLP packs provided prior to commencement of the program.

Security and conduct
The Dialogue upholds the principles of Responsible Service of Alcohol.

By attending the 2024 CLP, you agree to follow any lawful instruction provided by the Dialogue staff, and/or other providers’ staff. All delegates agree to comply with the conditions of entry to all venues, hotels, transport and other suppliers. 

Any loss or damage to property will be the responsibility of the delegate, including repairs/payment.

Delegates are asked to bring any dangerous behaviour or conditions throughout the program to the attention of Dialogue staff and other parties’ staff members.

Photography and video
By participating in the program, you give permission to the Dialogue to use any event related images taken for marketing purposes.

Weather and force majeure
Attendees are encouraged to consume bottled water to avoid dehydration and dress appropriately according to weather conditions.

In the event of inclement weather or force majeure or any other cause or event not reasonably within the control of the Dialogue which may affect the event in whole or in part, refunds will be based on the individual circumstances and venue policies.

Personal belongings
Equipment, laptop computers, bags or other valuables must not be left unattended. It is the responsibility of all delegates to ensure that valuables are secured at all times, including during breaks or at the end of the day. The Dialogue will not be held liable for any loss or theft of valuables, including within the hotel.

Internet and telephone
Additional download capacity and/or Wi-Fi that is not publicly available will be at the cost of the delegate.
